Invoice verification

Vendor bills read from the document, coded to your own chart of accounts, marked recoverable or not, and held as a card until a person approves them. Nothing is posted on its own.

Read from the bill itself

Komod reads the vendor, the date, the total and the line items from the invoice. The card shows the page and the words each figure came from, and it tells you when the line items do not add up to the stated total.

The words on a bill are data, never instructions. A sentence planted in an invoice cannot make Komod post anything.

Coded to your chart, not to a list of ours

Each bill is coded to an account in your own chart of accounts, imported from your QuickBooks or set up at your first run. A bill is never coded to an account your chart does not have. A bill with no code is a card that cannot be approved until a person names the account.

You can change the account, the amount or the vendor on the card before you approve. Each edit must name an account in your chart, and it is written to the audit trail with your name.

Recoverable or not

Every expense account starts as non-recoverable. You decide, per account, which costs may be passed through to tenants. That decision survives every later sync of your chart.

A bill whose recoverable status is unclear asks the question on its card. It cannot be approved until you answer, on the card or in a bulk review.

Approved first, posted after

An approved bill becomes an approved entry for the month. Sending it to QuickBooks is a separate card, and only your click posts it. The same transaction can never be posted to QuickBooks twice; a second attempt is refused before it can touch your books.

The expense schedule in the owner report is built from the approved bills. Each line links back to the entries behind it.

What you approve

  • Each invoice's account code, or the code you pick when the bill has none
  • Each invoice's recoverable or non-recoverable status
  • Any edit to the account, the amount or the vendor before approval
  • The post to QuickBooks Online, as a separate card

What the report shows

  • The expense schedule by account, built from approved bills only
  • Each expense line linked to the entries behind it
  • Each vendor's total for the month, a refund from a vendor shown as one
  • Bills still waiting on a decision, in the exceptions section
