QuickBooks Online and Desktop
QuickBooks stays your one set of books. With QuickBooks Online, your chart is imported when you connect and approved entries post only by your click. With QuickBooks Desktop, your chart is imported from a file and approved entries export as a file you import, a download, never a post.
Your chart of accounts, not ours
When you connect QuickBooks Online, Komod imports your chart of accounts and codes every entry to it. An account you later retire in QuickBooks is kept here for history and marked inactive. It is never deleted.
You decide one thing per expense account: is it recoverable or not. That answer is yours, and a later import never undoes it.
Online: approved, previewed, clicked
An approved entry does not reach QuickBooks by itself. Komod shows you a preview card with the exact figures. Your click posts exactly those figures. Nobody can post by typing a message in the chat.
One transaction can become one QuickBooks entry, once. A second attempt is refused before it can touch your books.
Desktop: your chart first
QuickBooks Desktop has no online connection, so Komod works with files. First, export your chart of accounts from Desktop and import it on the Connections page. You see every change before anything is written: which accounts are new, updated, retired or unchanged.
Import again whenever your chart changes in Desktop. Accounts are matched by their number, or by their full name when they have none. A row gone from the file is retired, never deleted.
Desktop: a download, never a post
For a month, download the approved entries as an IIF file and import it in Desktop yourself. The file carries exactly the entries an Online connection would post. Komod does not learn whether you imported it; the download is the record.
If one entry cannot balance, the whole download is refused and that entry is named. Your books are never half posted. Back up your company file before you import. Desktop does not spot a file imported twice.
What you approve
- Each entry, before it is eligible to post or export
- Each post to QuickBooks Online, from a preview card with the exact figures
- Each chart import from Desktop, after reading the list of changes
- The role of your operating bank account in the chart, which the export depends on
What the report shows
- The income and expense schedules coded to your own accounts
- The payment and receipt schedule, built from approved entries only
- Bank lines still unmatched, counted in the exceptions section
